Use AI to Prepare a Shift Handover Without Hiding Unfinished Work

Use AI to organise a shift handover, while people keep unfinished work, deviations, ownership and the two-way cross-check visible.

Two operations workers cross-check an AI-organised shift handover while unfinished work remains visible

A shift handover fails when the incoming team receives a polished summary instead of the work that is still moving. AI can make notes shorter and more orderly, but that same compression can hide an unresolved fault, a temporary workaround, a changed procedure or an owner who has not accepted the next action.

Use AI to prepare the handover pack, not to perform the handover. The outgoing and incoming workers still need to exchange information, ask questions and take responsibility together. The AI’s job is narrower: organise approved source notes, expose missing fields and keep unfinished work visible.

A handover is a transfer of responsibility, not a summary

The UK Health and Safety Executive describes effective handover as preparation by outgoing staff, an exchange between outgoing and incoming staff, and cross-checking by the people taking responsibility. Its guidance also calls for handovers to be two-way and supported by both written and verbal communication. An AI-generated note can support the written part. It cannot replace the exchange or the cross-check.

This distinction matters outside safety-critical sites too. Operations teams hand over delayed orders, equipment issues, customer commitments, access problems and temporary process changes. A fluent summary may improve readability while erasing the status that tells the next team what to do.

Use the SHIFT handover frame

SHIFT

1

State

Record the current operating state: what is running, paused, unavailable or changed since the previous handover.

2

Hazards and deviations

Surface overrides, temporary controls, new risks and any condition outside the normal process. Keep the source note attached.

3

Incomplete work

List every open task separately. State what has been done, what remains and what evidence would count as complete.

4

Forward actions

Name the next action, responsible person or role, deadline or trigger, and escalation route when known. Mark gaps rather than inventing them.

5

Two-way check

Give the incoming team time to compare the draft with logs, ask questions and confirm what responsibility they are accepting.

SHIFT is not a new safety procedure. It is a content frame for an AI-assisted draft. Your organisation’s approved handover process, role boundaries and risk controls remain authoritative. For high-consequence work, use the required human-led process and approved tools.

Worked example: a warehouse maintenance handover

Imagine an outgoing operations supervisor has four approved notes: one packing line is running at reduced speed; a technician has applied a temporary adjustment; twelve orders have been moved to another line; and the permanent repair is waiting for a part due the next morning. A fifth note says the delivery time is still unconfirmed.

Reading is a start. Practice makes it stick.

A weak AI prompt asks for a concise handover. The result might say that the issue is under control and the repair will happen tomorrow. That sentence hides two facts: the delivery time is not confirmed, and the temporary adjustment still needs the organisation’s required monitoring.

Build the draft without closing the open work

  1. 1

    Provide the approved source pack

Use only the current log, maintenance record, task list and authorised procedure. Label every extract with its source and time.

  2. 2

Ask for fields, not a narrative

Request SHIFT sections and require “not stated” for a missing owner, deadline, source or completion condition.

  3. 3

    Compare every open item

Check that the reduced-speed line, temporary adjustment, moved orders, part delivery and unconfirmed time all appear separately.

  4. 4

    Run the spoken handover

Outgoing and incoming staff discuss the draft, correct it and cross-check the key facts against the live records.

  5. 5

    Record acceptance

Use the organisation’s normal method to show who accepted which actions. Do not let the AI assign responsibility.

The useful output is not elegant prose. It is a short, inspectable queue of current state, deviations, unfinished work and next actions. If the draft cannot show where an item came from, it should mark the gap instead of filling it.

Protect the two-way check

The HSE’s wider guidance on safety-critical communication recommends identifying who needs what information, using suitable written and verbal methods, and reinforcing important messages through more than one medium. The UK Government AI Playbook likewise stresses meaningful human control, validation and processes for users to report issues.

Before the incoming team accepts the handover

  • Every unresolved item appears in its own row or card.
  • Current state and source time are visible.
  • Temporary controls and deviations are clearly marked.
  • Missing owners, dates or evidence are labelled as missing.
  • The incoming worker can question and correct the draft.
  • The final record follows the approved handover process.

Do not ask AI to decide which details are too minor to include. Define the incoming team’s information needs first. That follows the human-factors principle behind effective handover and prevents a model from optimising for brevity at the expense of continuity.

Keep the workflow connected to related checks

Before the handover, audit the input pack. When the draft turns discussion into assignments, run a commitment check. For longer programmes, structure the update as a decision brief rather than a generic summary.

Draft one SHIFT handover
  1. Choose five approved notes from a low-consequence practice case.
  2. Label each note with its source and time.
  3. Ask the AI to organise them into the five SHIFT fields.
  4. Circle every missing owner, date, source and completion condition.
  5. Have another person cross-check the draft and name one correction.

The test

If the incoming team cannot see what remains unfinished, the handover is not ready—however polished the summary sounds.
